P&C Executive Update
During our Annual General Meeting on Tuesday, 24 March, we elected our new President and Treasurer. The positions of Vice-President and Secretary remain vacant.
Volunteering for these positions is crucial to the ongoing operation of the P&C and the support we provide to Wishart State School. Without a full Executive team, the P&C cannot function—impacting our ability to fund important projects, run events, and operate essential services such as the Tuckshop, Uniform Shop, and WOSHC.
Being part of the P&C Executive is also personally rewarding. It offers a chance to build strong connections within the school community, develop new skills, contribute your strengths, and see the positive impact of your efforts on students, staff, and families. Many volunteers find it deeply fulfilling to know they are making a meaningful difference.
Below are the descriptions of the four Executive roles.

Executive position descriptions

The President provides leadership and is the accountable officer of the Association. Their role is to act as a representative of the Association, encourage communication between the Association, School administration and the community and encourage participation in the Association. The President will be the Chair of meetings and conduct them in an efficient and timely fashion, being familiar with the rules, constitution and other documents governing Association operations.
Key points:
Understands the rules and operations of a P&C
Has good knowledge of P&C meeting procedures
Provides leadership
Chairs meetings
Acts as your P&C spokesperson/representative
Fosters positive communication between the P&C and school
Builds relationships with the wider community
Encourages participation by members
Ensures everybody has a say in the P&C
Is accountable for employment and business issues
Time commitment:
The President role oversees the Exec so will need to be available for staffing queries. Ultimately this is about 2 hours a week. That being said, the President is supported by the P&C Operations Manager and Wishart Outside School Hours Manager and other paid staff.

The Vice President provides essential support for the President and possibly other members of the Executive Committee. They will Chair those meetings from which the President is absent and carry out any duties that have been delegated by the President. They should also be familiar with the rules, constitution and other documents governing Association operations.
Key points:
Chairs meetings if the President is absent
Provides essential support for the President
Helps the Secretary and/or Treasurer as required
Understands operations, rules and meeting procedures
Acts as the President’s “understudy”
Understands the various executive roles
Carries out duties delegated by the President
Be prepared to perform a role particular to your P&C, such as “publicity officer” or “fundraising co-ordinator”
Time commitment:
The Vice President role supports the President however like the President has the help of the P&C Operations Manager and Wishart Outside School Hours Manager. Typically around an hour a week would be required in this role.

The Secretary collates the agenda papers for each meeting and assists the President in preparing an agenda for each meeting. They prepare and present minutes of the Association’s meetings, record and deal with correspondence in/out as directed and generally organise, record and maintain information pertaining to the activities of the Association.
Key points:
Completes administrative tasks required to operate the P&C, particularly meetings and correspondence
Prepares and distributes meeting agendas to members
Prepares, distributes and presents meeting minutes to members
Act upon any directions given at meetings
Organise, record and maintain information pertaining to the activities of the Association
Ensures a copy of the Constitution is available and accessible
Time commitment:
The Secretary role is busy before, during and after meetings with the time commitment ramping up around the AGM. The Secretary role would be about an hour a week however ramps up in timeframes at each meeting to prepare and circulate agenda/reports and then finalise the minutes for circulation.

The Treasurer has the overall responsibility for the financial management of the Association. In their role they must comply with the Accounting Manual in all aspects. They prepare an annual budget and annual operational plan for the Association in consultation with other members of the Association’s Executive Committee. It is the Treasurer's responsibility to keep accurate accounts of receipts and expenditure.

Ensures the P&C complies with the Accounting manual
Financial statements/reports are presented at meetings
Pays accounts promptly when authorised
Issues receipts for monies received
Maintains accountable forms register
Maintains P&C asset register
Monitors wages
Ensures accounts are current and reconciled
Prepares annual financial statements for auditing
Ensures accounting is open and transparent
Time commitment:
The Treasurer role oversees fortnightly payments (invoices and wages) checking payment and seeking second approval by the remaining Executive. Similar to the Secretary, the role gets busier at the AGM preparing the necessary paperwork and reports. This role would typical involve 1-2 hours per week.
